Use case

Answer customers with video, faster than a long email

Updated

In short

A support video shows the fix instead of describing it: 30 seconds to 2 minutes, on the customer’s screen or an identical one, with every click clearly visible. Record in one take with Clarcut, let it zoom on your clicks and cut the silences, then send a share link (Clarcut Plus) or export an MP4 for your help center. Stick to text for short answers and anything the customer needs to copy.

When video beats a written reply

Video isn’t always the best answer. A customer asking for an invoice number wants one line of text. But as soon as the answer sounds like “click here, then there, then drag this over,” a 40-second video saves three rounds of back-and-forth.

  • The fix spans several screens or settings.
  • The customer already tried a help article and got stuck.
  • You’re explaining behavior that’s easier to see than describe (an animation, a drag-and-drop).
  • The same question comes in every week, so a video in a macro gets reused dozens of times.
  • The conversation is tense. Hearing a calm voice often defuses things better than text.

On the flip side, stick to text for anything the customer needs to copy (an address, a code, a link), one-sentence answers, or customers who’ve said they prefer writing.

A script for video replies

  1. 1

    Restate the problem (5 sec)

“You can’t export your report to PDF, so let me show you.” The customer knows you understood.

  2. 2

    Start from their screen

Begin where they’re stuck, not from the home page. If you can, reproduce their situation in a test account.

  3. 3

    Show the fix, no detours

Only the clicks that matter. Say each button’s name out loud.

  4. 4

    Show the result

The PDF opening, the setting saved. The customer knows what success looks like.

  5. 5

    Close with one written line

In the message that goes with the video, sum up the fix in a sentence. It helps people who don’t watch, and it’s searchable in their inbox.

Record fast without starting over

  • Keep Clarcut open during support shifts. On Windows, Ctrl + Shift + R starts and stops recording without leaving the customer’s app.
  • Record the relevant window rather than the whole screen, so your other tickets and chat stay hidden.
  • Don’t chase the perfect take. Hesitations become silences you cut in one click, and a botched sentence goes away with the S key.
  • If the screen shows a customer’s name, email or data, blur that area before sending.
  • For bugs, turn on system audio if there’s an error sound or alert.
  • For frequent questions, record a generic version (“Hi there” instead of a first name) you can reuse.

What Clarcut automates

  • Automatic zooms on clicks, so the customer sees that tiny button in the top-right corner, even on a laptop.
  • Silence removal (Normal works well for support replies) and background noise removal.
  • A smoothed cursor and click ripple, so people can follow even quick movements.
  • Sped-up typing, so nobody waits through data entry.
  • Blurring a sensitive area from a specific moment.
  • Share links with Clarcut Plus: from Export, choose Share link, the transcript is added, the link is copied, and the customer opens a page with the video, a clickable timestamped transcript and transcript search. You can also send a link that starts at a specific moment. With white label (included in Clarcut Plus), the link points to your own domain and the page carries your logo, with no mention of Clarcut.
  • MP4 export for your help center, or an animated GIF for a short tip. With Clarcut Pro, captions also export as an .srt file for players that support it.

Mistakes to avoid

  • Sending a video with no text at all, so the customer doesn’t know whether to watch it now.
  • Opening with “OK, hang on, let me open…”. Get the screen ready before you hit record.
  • Recording your own account with other customers’ data visible.
  • A 6-minute video for a 30-second fix.
  • Putting expiring share links in permanent help articles.
  • Letting a macro video keep showing an old interface.

Organizing and measuring

Store your macro videos alongside the matching written reply in your support tool, and put the recording date in the title. When the UI changes, you’ll know which ones to redo. In help center articles, put the video at the top and keep the written steps below: some readers skim, others watch.

For measurement, use the metrics you already track: replies per ticket, time to resolution and CSAT on tickets where you sent a video versus those where you didn’t. For help articles, check whether tickets on the same topic drop after you add the video.

Clarcut’s limits for support teams

Clarcut doesn’t integrate with any help desk (Zendesk, Intercom, Freshdesk, Help Scout): you paste the share link or upload the MP4 by hand. There’s no team workspace or shared library, so each agent keeps their own videos, and teams store shared ones wherever they like. Viewers can’t comment on the video; the conversation stays in the ticket.

Share links require Clarcut Plus ($9/month or $90/year), with videos up to 5 GB and 2 hours and 100 GB of storage. If the subscription ends, links stay viewable for 30 days and then the videos are deleted, so for a permanent help center, host the MP4s on your own platform.

Frequently asked questions

How long should a customer support video be?

As short as possible: 30 seconds to 2 minutes for a ticket reply, 1 to 3 minutes for a help article. Anything longer probably covers more than one problem.

How do I send a video to a customer without a huge attachment?

With Clarcut Plus, create a share link from the export window. The customer opens a web page with the video and its clickable transcript, with no account or install required.

Can the customer jump to a specific part?

Yes. On the share page, the transcript is timestamped, clickable and searchable. You can also send a link that starts right at a given moment.

Does Clarcut work with Zendesk or Intercom?

Yes, but without an integration: paste the share link into your reply or macro, or add the MP4 to the help center article.

Are my support videos uploaded to the internet?

No, unless you create a share link. Editing and transcription happen on your computer. Only videos you share by link are uploaded to Clarcut’s servers.

Can a support team share one Clarcut account?

Clarcut doesn’t have team workspaces. A Pro license covers 3 computers for one person, so each agent who records regularly needs their own license.
